JOB DESCRIPTION:

The Administrative Assistant serves as the first point of contact for students, families, and community members, ensuring the smooth day-to-day operations of the Crosby Scholars Program. This role supports both middle and high school programming and is vital to communication, outreach, and data management.

KEY RESPONSIBILITIES:

  • Answer incoming calls and emails in a professional, friendly manner
  • Provide administrative support for Crosby Scholar programs and special events
  • Maintain donor database and prepare correspondence
  • Prepare mailings, certificates, and other program materials as needed
  • Provide administrative support for Crosby Academy, community service, and events
  • Support community service program documentation and awareness
  • Record and maintain Board of Directors meeting minutes and manuals
  • Assist in preparing regular program and grant reports
  • Order office supplies and monitor equipment needs
  • Maintain accurate electronic and paper files
  • Other duties as assigned

EXPERIENCE:

  • High school diploma or GED required; associate's or bachelor’s degree preferred
  • Proficiency in Google Suite, Microsoft Suite (Word, Excel, Teams), and basic database systems
  • Strong attention to detail and organizational skills
  • Excellent verbal and written communication
  • Ability to manage multiple tasks and deadlines independently
  • Experience in customer service, office administration, or youth programs preferred
  • Spanish fluency is a plus and preferred
